Agreement to Terms

By accessing or using Honest Invoices ("the Service"), you agree to be bound by these Terms of Service. If you disagree with any part of these terms, you may not use our Service.

Honest Invoices is operated by Airtisan ("we", "us", "our"), a sole trader registered in the United Kingdom.

Description of Service

Honest Invoices is a software-as-a-service application that helps tradespeople create and manage invoices. Features include voice-powered data entry, time and materials tracking, and PDF invoice generation.

Account Registration

To use the Service, you must create an account with a valid email address. You are responsible for maintaining the security of your account and password. You must notify us immediately of any unauthorised access.

You must be at least 18 years old to use this Service.

Subscription and Payment

Free Trial

New users receive a 14-day free trial. During the trial, you have full access to all features. No payment is required to start the trial, but you must provide payment details.

Subscription

After your trial ends, you will be charged £15 per month to continue using the Service. Subscriptions renew automatically each month until cancelled.

Cancellation

You may cancel your subscription at any time through your account settings or Stripe's customer portal. Upon cancellation, you will retain access until the end of your current billing period.

Refunds

We offer refunds on a case-by-case basis. If you're unsatisfied with the Service within the first 30 days of your paid subscription, contact us for a full refund. After 30 days, refunds are at our discretion.

Acceptable Use

You agree not to use the Service to:

• Violate any laws or regulations
• Create fraudulent invoices or engage in deceptive practices
• Attempt to gain unauthorised access to our systems
• Interfere with other users' use of the Service
• Upload malicious code or content
• Resell or redistribute the Service without permission

Your Data

You retain ownership of all data you input into the Service (business information, job details, invoices, etc.). We do not claim any ownership rights over your content.

You grant us a limited licence to store, process, and display your data solely for the purpose of providing the Service to you.

You are responsible for the accuracy of the information you provide, including invoice details, business information, and bank details.

Data Export

You may export your data at any time through the Service interface. Upon request, we will provide your data in a common machine-readable format (CSV or JSON).

AI and Voice Features

Our voice-to-invoice feature uses AI (OpenAI) to transcribe and extract information from your recordings. AI can make mistakes. You are solely responsible for reviewing and verifying all AI-generated content before sending invoices to your clients.

We are not liable for any errors, omissions, or inaccuracies in AI transcription or data extraction. Always review your invoices carefully before sending.

Voice recordings are temporarily stored for processing and quality improvement. Transcripts are retained to allow you to review and edit entries. You may request deletion of specific recordings by contacting us.

Tax and Accounting Compliance

Honest Invoices is an invoicing tool that helps you create and manage digital invoice records. We do not provide accounting, legal, or tax advice.

Making Tax Digital (MTD) Compliance

Honest Invoices helps you maintain digital invoice records. However, full compliance with Making Tax Digital for Income Tax may require additional features (such as expense tracking and quarterly HMRC submissions) that are not currently available in the Service.

You are responsible for ensuring your use of the Service meets your specific tax and regulatory obligations. Consult with your accountant or HMRC for specific compliance requirements.

Service Availability

We aim to provide reliable service but cannot guarantee 100% uptime. We may occasionally need to perform maintenance or updates that temporarily affect availability.

We reserve the right to modify, suspend, or discontinue the Service at any time with reasonable notice where possible.

Limitation of Liability

To the maximum extent permitted by law, Honest Invoices and its operator shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities.

Our total liability for any claims arising from your use of the Service is limited to the amount you paid us in the 12 months preceding the claim.

We are not responsible for any disputes between you and your clients arising from invoices created using the Service.

We are not liable for any tax penalties, fines, or regulatory issues arising from your use or misuse of the Service.

Disclaimer

The Service is provided "as is" without warranties of any kind, either express or implied. We do not warrant that the Service will be error-free, secure, or uninterrupted.

We make no warranties regarding the accuracy of AI-generated content or the suitability of the Service for any particular accounting or regulatory purpose.

Termination

We may suspend or terminate your account if you violate these Terms. You may delete your account at any time by contacting us.

Upon termination, your right to use the Service ceases immediately. We will delete your data within 30 days of account closure, subject to legal retention requirements.

Changes to Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes via email or in-app notice. Continued use of the Service after changes constitutes acceptance of the new Terms.

Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
