The reality

The pain you actually have.

Generic accounting software is built for accountants. This is built for a cleaner who finishes a job at 5pm covered in dust and just wants to get paid.

01

Recurring contracts are the bread and butter, but they’re a spreadsheet nightmare — did the Roberts pay for weeks 3 and 4 or just 3? Did the office contract get invoiced this month or last? The admin runs longer than the actual cleaning some weeks.

02

Commercial cleaning (offices, holiday lets, end-of-tenancy) can go 30+ days overdue and there’s no clear escalation path. Statutory interest applies to those B2B invoices but domestic ones don’t — and most cleaners don’t know the difference.

03

MTD ITSA lands at £50k, then drops to £30k in 2027 and £20k in 2028. A good weekly domestic round plus two commercial contracts crosses those thresholds fast — and almost nobody in the cleaning trade has heard of the rule.

What it does

Three things. Built for cleaning contract work.

No bloat, no “multi-entity reporting”.

01

Voice-to-invoice for weekly rounds and one-offs

Describe the visit in the words you’d use texting a friend — the address, the hours, the materials used, the price. In 30 seconds, an invoice is on its way to the customer. No spreadsheet, no evening admin.

For recurring contracts, set up a recurring template once (weekly, fortnightly, monthly, or quarterly) and Honest Invoices auto-generates each invoice on the schedule you picked. Held as a draft for review by default so you stay in control; opt into auto-send when you’re confident.

02

Commercial vs domestic tracked properly — statutory rules applied correctly

Mark each client as commercial (office, holiday-let owner, letting agent) or domestic (homeowner) when you set them up. When commercial clients pay late, statutory interest at BoE base rate + 8% plus a fixed compensation fee is owed on every overdue invoice — and Honest Invoices calculates it, cites it in the chase email, and keeps a paper trail.

Domestic clients don’t attract statutory interest, so the chase emails use non-statutory language. You never accidentally cite the wrong Act on a homeowner.

03

MTD ITSA quarterly records built as you go

The MTD ITSA thresholds catch a lot of cleaners nobody warned. April 2026 is live for £50k+; April 2027 lands at £30k; April 2028 lands at £20k — almost every full-time cleaner is above the £20k floor.

Every voice invoice is captured as a digital record in the MTD-required format from day one. When production HMRC credentials clear (sandbox-tested at 12/12 pass and in review with HMRC’s SDS team), quarterly submissions go live inside the app. Check your position with the MTD wave calculator.

From the founder

Built end-to-end against HMRC’s APIs.

Honest Invoices is built and run by Vix Hawley. The MTD ITSA integration was built by hand — OAuth, fraud-prevention headers, the full Self-Employment Business and BSAS APIs. It took months. The full HMRC sandbox journey passes 16 out of 16 steps with proof on file.

Most accounting platforms are built for accountants. This one is built for cleanerswho don’t want to spend their evenings doing admin. £15/month. Locked. No price hikes, ever.

FAQ

FAQ for cleaners.

I do the same weekly round — do I have to re-invoice from scratch each week?

No. Set up a recurring template for that client once (weekly, fortnightly, monthly or quarterly) — Honest Invoices auto-generates each invoice on the schedule. Held as a draft for review by default so you can double-check before sending; auto-send is one tick when you’re ready.

One of my office contracts pays late every month. What can I do?

Because it’s a commercial (B2B) invoice, you’re legally entitled to charge statutory interest at the Bank of England base rate + 8% and a fixed compensation fee. Chase emails at stage 3+ quote the figures for you. See our free late-payment calculator for exact amounts on that specific invoice.

What about a customer who queries the invoice line 'materials'?

You can itemise materials on the invoice: multi-surface spray, glass cleaner, cloths, hoover bags. Speak them as you record the job and each appears as a line the customer can see.

Do I need to worry about VAT?

VAT registration is compulsory in the UK at £90,000+ turnover (from April 2024). Below that, voluntary registration is an option some cleaners take for commercial contracts. Toggle VAT in settings and Honest Invoices handles the required VAT invoice fields.

Does this handle end-of-tenancy work where the letting agent is chasing?

Yes — letting agents are commercial clients. Invoice the agent (not the tenant), mark the client type commercial, and the statutory late-payment mechanics kick in if they run overdue. The chase emails escalate through stages 1–4 with the right tone at each.

I’m below the MTD threshold — can I still use this?

Yes. The invoicing, chase, and client tracking work whether MTD applies to you or not. The MTD quarterly submission side kicks in when you cross the threshold — by then your records are already in the required format.
